Procurement Coordinator

 

Job Purpose

Supports the procurement of store equipment and fixtures, renewals, and ordering supplies across the organization. Maintains a master equipment list, develops and maintains budgets, establishes and communicates schedules, requests quotes from vendors, and creates purchase orders for renewal capital spend and store expense requests. Partners with key business stakeholders to develop and deliver strategic equipment/service procurement solutions for retail facilities.

Collaborates with multiple departments on sourcing and purchasing new equipment, fixtures, and supplies at the most competitive rates. Maintains vendor relationships and negotiates on cost, lead times and payment terms. Secures quotes from vendors, forecasts materials/fixtures for upcoming needs, generates PO’s for all renewals and store request work orders. Ensures vendors are set up in appropriate systems to achieve effective and efficient ordering, invoicing, and payment within negotiated terms. Confirms that purchase orders comply with approved criteria, sends AP invoices for payment. Works with Finance and Accounting to change purchase orders and fix match exceptions to process vendor Payments.

Creates and maintains budgets and master equipment schedules for renewals that track and communicate deliverables. This includes any changes that have a budget impact, equipment updates, small ware deliveries, or any other warehouse equipment requests.

Transfers assets as needed for store design plans or other required projects to manage costs. Assigns to stores: assets, amount of equipment necessary, change of equipment/specs, and approved vendor for each project. Leverages forecasts to establish cost commitments and renegotiates terms as necessary.

Conducts equipment take-offs at stores by traveling with appropriate staff. Works with senior management and warehouse teams to arrange equipment and supplies for redeployment on upcoming projects and store requests. Notifies store management, maintenance and GC regarding disposal, transfer and refurbishment of equipment assets.

Confirms compliance with approved design criteria for existing and revised store layouts, including new stores, remodels, and special projects. Works with store design and store planning teams to address equipment specification updates and vendor changes. Ensures that equipment is ordered correctly per plan. Communicates necessary concerns to more experienced staff on any discrepancies with blocks and equipment design schedules.

Knowledge, Skills & Abilities Required

• Knowledge of Procurement techniques such as procuring, sourcing, and purchasing. Familiarity with mechanical equipment and service requirements related to retail or equivalent   industry experience.

• Talent in negotiations & networking, and aptitude in decision-making.

• Advance knowledge of Microsoft Office suite and purchasing and ordering software – Oracle, PeopleSoft, budgeting, and understanding P&L.

Knowledge, Skills & Abilities Preferred

• Demonstrate understanding of technical design drawings, equipment refrigeration systems, and operation of such (BTU per case, type of refrigerant, etc.).
